基础 邮件步骤
邮件第一步:问候语
Greeting
一般最常使用的是Dear+收信人姓名。如果是寄信给长辈或领导、客户,加上称谓会比较正式,平级同事或合作伙伴直接写名字即可。
当遇到收信人不确定的时候,比如转寄给某项目的相关人员,可以用
To whom it mayconcern,(敬启者:)
Dear Sir or Madam,
格式需注意的是,所有greeting后面要加逗号,然后空一行开始信件正文。
邮件第二步:告知目的
Purpose
在详细表述前,一般需要一句提纲挈领的话告知邮件重点。
I am writing to inquire …
写信来询问有关 …
I am writing inreference to …
这封信是关于 …
回信的开头可以说
Thank you for reaching out to us regarding …
感谢您联络我们 …
in reference to 和 regarding 是“有关”“关于”的意思。行文中使用会比较正式,我们熟悉的about比较口语化,邮件中最好不要用。对比感受一下:
口语:I’m talking about the meeting scheduled for next week.
正式:I am writing inreference to the meeting scheduled for next week.
正式:I am writing to you regarding the possibility of scheduling a meeting for next week.
这里in reference to与regarding的一点点不同在于,inreference to用于已经跟对方提到过的事而regarding的用法比较广泛。
邮件第三步:正文
Content
商务邮件最重要的一点就是要简~单~明~了!直入主题,不要用大长句,这里不需要你得瑟自己的水平。
“我已将××粘帖至附件”~也是经常使用的句子。
Please review the attached documents thoroughly.
请仔细查阅附件。
I have attached the previously mentioned documents for your review.
上述所提文件已附在文章附件请查阅。
Please see the attached documents for a quotation of the requested services.
请参阅附件内的服务相关报价。
邮件第四步:结尾
Closing
通常我们会客气地说,辛苦、感谢、随时沟通之类的。

邮件第五步:结尾敬语&签名档

这里注意,只要首字母大写就可以了,不用全部大写哈!

在北美很少人会用 Regards,Best regards,因为不是很正式,Sincerely是最保守安全的用法!

TIPS 让邮件锦上添花
连接词的使用
快抛弃BTW吧,在一个邮件里说起另外一件事情,你可以用in addition to/additionally/furthermore
多使用被动语态
邮件或者正式的文件里,被动语态会显得更专业。比如需要某样东西,把I need xxx改成xxx is required.是不是看上去专业多了?
还有一个例子可以省掉主语,把句子结构改成Itis+动词,比如It is proposed that/It is confirmed that...
多注意nativespeaker的用词
注意用他们常用的同义词替换你常用的。比如because of 可以用due to替代;比如请别人核实问题的时候不要只会用check, clarify/verify/cross verify都非常好用;比如表示在某件事之前除了before你还可以用priorto;表示在某件事之后除了用after还可以用upon(当然用法有一些区别,举例:Let's talk about this after you come back改成Let's talkabout this upon your return)
类似的同义词,如果用的时候不确定用法是否有区别,随时查字典即可。
